Internal Library: Pricing, Lead Time, and Alternative Suppliers

Centralize all supplier and cost information in one place—making it easier to compare options, track lead times, and keep your pricing updated across projects.

 

Why It’s Important

The Internal Library helps you:

  • Store all supplier pricing and lead times in one place (no more scattered lists).

  • Add, manage, and compare alternative suppliers for each product.

  • Highlight the best unit price and best lead time automatically.

  • Push supplier data to your projects and pull updates back into the Library.

  • Keep all team members aligned with the latest agreements.



🧭 Adding and Managing Suppliers

  1. Go to the Internal Library and enable the Alternative Suppliers column (via the Column Selector if it’s not visible).

  2. For each product, you’ll see the supplier list with:

    • Supplier name

    • Region

    • Unit price

    • Lead time

    • Unit

  3. Add a supplier from your Contact Book, or create a new supplier directly.

     

  4. You can also remove suppliers from the list.

Pro tip 💡: The system highlights the best unit price and best lead time, making comparisons quick and easy.

 

⚙️ Procurement Settings and Column Mapping

Before sending supplier data into your projects, check Procurement Settings to see how Internal Library fields map to project columns. By default:

  • Unit PriceRetail Price column

  • Lead TimeOrder Lead Time column

  • Extended CostExtended Client Cost column

These mappings can be adjusted, but defaults are usually recommended.

📑 Assigning Preferred Suppliers in Projects

  1. In a project, open the side panel and go to Preferred Suppliers.

  2. Choose the supplier you want to assign (e.g., by best lead time or lowest cost).

  3. Click Assign in Project.

The mapped values (retail price, supplier name, lead time, etc.) will populate in the project automatically.

🔄 Updating Prices and Lead Times Back to the Library

When you update supplier data in a project, Fohlio makes it easy to sync those changes back to the Library:

  1. Adjust values in the project (e.g., change price or lead time).

  2. In the Internal Library, open Price and Lead Time Update.

  3. Review pending updates (old vs. new values).

  4. Accept or dismiss updates.

The approved changes are then saved in the Internal Library and pushed to live projects.

Note: If you change the pricing or lead time in the project sheet, the update will only be applied in the Internal Library for the supplier that you selected in your project sheet.

📋 The Three-Step Workflow

  1. Add and map suppliers – Make sure pricing-related columns are correctly mapped to project fields.

  2. Set supplier pricing and lead times – Enter planned agreements directly in the Library.

  3. Track and update continuously – Sync changes from projects back into the Library to always keep your data current.
