Procurement Templates - Settings
Template for procurement documents are here now! Manage templates, assign default for each project, select templates for new projects!
In the latest update to Fohlio we will be introducing Procurement Templates for your projects, which will replace the Settings for Product tab on the Procurement Settings page. This update will make managing and assigning templates much easier and more straightforward.
New Template-Based View
With the new update, the settings for procurement documents will be replaced by a template-based view. This means you can now create and manage templates for all types of procurement documents like:

Purchase Orders (POs)
-
Client Invoices & Proposals
-
Requests for Quotations (RFQs)

What happens to my existing settings in my projects?
Your existing project settings will be automatically migrated into templates and assigned to your projects, so there’s no need to worry about selecting the correct templates during this update. All your projects have their settings maintained
The templates will contain the migrated project names it's assigned to as a reference in the description section
We also merged Projects with the same Settings into one Template to reduce the number of templates. Only active projects were considered during this migration to also further the amount of templates created
Creating and Managing Templates
Create a new template:
1. From Procurement Settings Under Products tab > Click on the plus sign (`+`) per the type of document you would like to create a template for

2. You'll be presented with the same settings as before, where you can:

Choose between universal or project-based numbering.

Add Item Name, Descriptions and Unit Price for all categories

(NEW) Per Category, add Item Name, Description and Unit Price

Toggles to Show column names in Description and Attach item documents when exporting PO to a PDF file
Reusing and Assigning Templates Across Projects
One of the key reasons for these changes is to enable the use of the same template across multiple projects, simplifying the setup and modification of Procurement settings if needed.
If you have your template already created or used in a previous project, simply assign it to the intended project. In order to do so,

Head to Project List
-
Click on options next to intended project and select Procurement Templates
-
Simply, select which template you want to be assigned per the type document


What is System Default Template ?
The Default template, is the template that gets assigned in case of no template is selected when creating a project, or the assigned template on a project got deleted. it acts as a backup, and it cannot be deleted.
You can still edit the Default template just like any template and use it in all of your projects if you wish to
Template Selector when creating a Purchase Order or a Client Invoice/Proposal
Another cool feature we added, is the ability to even select a different template other than the assigned template on a project, in case of certain situations that requires you to create a procurement document with different settings
The template selector only shows up on creation of a document and can be controlled through a permission, so only users with an Edit access, can use the templates selector

You can also Edit current or any other templates and Create new ones from the same place. This was made to make the process of changing a setting when needed much easier to access without any interruptions
