How to Filter and Search for Items in Fohlio
Quickly narrow down your project items using filters, category selections, and column searches.
Filtering helps you find the exact items you need to review, update, or report on without manually searching through the full project sheet.
Why Filtering Is Useful
Fohlio gives you multiple ways to filter project items depending on what you need to find.
You can filter items by:
- Values in Column
- Categories
- Item names or specific field values
- Areas
- Saved filter presets
Use basic filters for quick searches, or use the Filter By feature when you need more advanced conditions.
1. Use the Filter By Feature
The Filter By feature lets you filter items using one or more conditions.
To create a filter:
- Click Filter By.
- Click Add New Condition.
- Under Property, select the column you want to filter by.
- Choose the operator or condition.
- Select or enter the value.
- Apply the filter.

Example: Filter by Purchase Order Status
If you want to see items that have already been received:
- Open Filter By.
- Select PO Status as the property.
- Choose Fully Received as the value.
- Apply the filter.
Fohlio will only show items where the Purchase Order Status is Fully Received.

2. Stack Multiple Filter Conditions
You can add more than one condition to narrow results further.
For example, you can filter items where:
- Purchase Order Status is Fully Received
- Category is Accessories
This will only show items that match both conditions.


Pro tip 💡: Use multiple conditions when you need a very specific result, such as received items from one category, supplier, or status.
3. Use Different Filter Operators
Operators control how Fohlio applies the filter.
Depending on the column type, you may see options such as:
- Is Any Of
- Is None Of
- Contains
- Does Not Contain
- Equals
- Does Not Equal
- Is Empty
- Is not Empty
Example: Exclude a Category
If you select:
- Category
- Is None Of
- Accessories
Fohlio will show all items except items in the Accessories category.
Example: Find Empty Fields
If you select:
- Product Name
- Is Empty
Fohlio will show only items where the Product Name field has no value.

4. Filter Quickly by Category
If you only need to filter by category, use the category filter directly.
- Open the Category filter.
- Search for or select one or more categories.
- Apply the filter.
Fohlio will only show items from the selected categories.


5. Search Within a Column
You can also filter by typing directly into a column search field.
This is useful when you are looking for a specific value, such as:
- Product name
- Model number
- Supplier
- Tag
- Code
For example, if you type a value into the Product Name column search field, Fohlio will only show items that match that value.

Note: Column search is best for quick lookups. Use Filter By when you need advanced filtering or multiple conditions.
6. Save Filter Presets
If you use the same filter often, you can save it as a preset.
To save a filter preset:
- Create your filter conditions.
- Click Save the preset.
- Name the preset.
- Save it.
For example, you could create a preset called PO Fully Received for items where the Purchase Order Status is Fully Received.
The next time you need that view, you can apply the saved preset instead of rebuilding the filter manually.

Note: Filter presets are saved per phase, E.g., If you save the PO Fully received preset in the Product Specification phase, it won't show in other phases as Procurement, Estimation, etc. However, you can create a preset with the same conditions in other phases if needed.
Once a preset is created, it automatically becomes available for all team members that have access to the phase where that preset was created.
7. Filter Items Using the Cost Tracker
You can also use the Cost Tracker to filter items by Areas or Categories.
Filter by Area
- Open the Cost Tracker.
- Click an area, such as Lobby Reception.
Fohlio will only show items assigned to that area.

Filter by Category
- Open the Cost Tracker.
- Switch to the Categories view.
- Click the category you want to review.
Fohlio will filter the project sheet to show items from that category.
