How to Set Up Users' Access

Control what users can access, and grant access per Role or Project. Understand the access someone has and learn how to modify it if needed.

 

If the team has more than one user, different access can be granted to other users, to build a workflow, and assign projects to the responsible designers, and what part of Fohlio they may have access to.

Access can be granted in 3 places:

  1. Access per Role

  2. Access per Project

  3. Access per Dashboard

     

1. Access per Role:

From left Main Menu > Settings>User Management> ROLES AND ACCESS > Role settings


There are 3 tabs that define what each Role has Access to.

A) GENERAL ACCESS:

Contains what modules inside Fohlio the user can have access to I.e.: Area plans, Contact books, moodboards, and more.

B) DASHBOARD ACTIONS:

What Access the User can have to the Project Sheets such as creating reports, uploading, and updating data.

C) DASHBOARD COLUMN ACCESS:

To select the Columns this Role will have access to, you can filter Columns per Phase or Dashboard.

2. Access per Project:

From the Main Menu>Projects>Project List>3 dots next to any Project >Assign users,
you can assign access to projects per user, And the access can be selected between Edit, View, or No access at all.

Edit access: The user can add items, edit information, and create procurement docs.

View access: The user can only view the dashboard and create reports.

No access: The project won’t even appear in the filter to be selected.


If you want to adjust the access for individual user across all Project, you can go to
User Management >Internal User List > Edit Project access


3. Access per Dashboard:

From the main Menu > Configure Phases >Phase Column Settings

On the DASHBOARD PHASES tab, you will find all dashboards.

You can set which Roles can access each dashboard, it can be different per Project.

Note: If you create a new Dashboard you need to Assign which Roles can access it,

And when creating a New Role you need to assign it to Dashboards.

Pro Tip: If you duplicate a project, you will also duplicate its access.




Common Q&A:

Q: Why I can’t add or edit items in a certain project?

A: Please ask your team admin to check your Edit access for that project on the project editor - Paragraph 2

Q: Why I don’t see any fields on the Web Clipper when trying to add items to a certain project?

A: Ask the admin to check if you have edit access to the project and if you have Dashboard access to your role - Paragraphs 2&3

Q: Why I can add items and edit them but I am not able to create Purchase orders or Client invoices?

A: Your role doesn’t have access to those features, your admin should grant you those access to your role, or change your role - Paragraph 1

Q: Why do I have some columns and features greyed out, but my other team members still see them?

A: You may have a different role or access authority than the other users.
