Internal Library - FAQ

Want to know more about the Internal Library? Check out these Frequently Asked Questions.

Tutorial #4: Internal Library > FAQ

Q: Can I customize the categories in the Internal Library?

A: No. All categories that are on the Specification Categories page (https://app.fohlio.com/configure_categories) will be available in the Library.

Q: If I send items from my project to the Internal Library, are they removed from my project?

A: No. They remain in your project. A new library item is created, with all product property column values. Your project item is also linked to this new Internal Library item, so you can expect a green line next to your project item, indicating it’s linked. Any updates you make on the Internal Library will be publishable to the project item.

Q: What happens if I get an update from the Internal Library and I reject it?

A: Nothing. Your project item keeps the same information it had. The update notification disappears. Your project item remains linked to the Internal Library. BUT, if the library manager publishes the changes to your project again, then the notification will show up again.

Q: Why can I only publish library updates to active projects?

A: Finalized projects (and inactive) will remain in their current state.. For example, if you add new warranty docs to an item, those conditions were not in effect when the project was finalized. Hence, this update should not be published to already finalized projects. This allows you to access the project documentation in the event of a dispute.

Q: Why don’t we have formulas in the Internal Library?

A: Most formulas are connected to the QTY of an item in a project. Formulas are set in other Fohlio modules and link to Internal Library data.

Q: Can I avoid sending duplicate items to the Library?

A: Yes. When you send items to the Library, there’s an algorithm searching through all product column values (except Images & Docs), and if it finds a matching library item, it links your project item to that Library item.

Q: If I unlink a project item from the Internal Library, can I re-link it?

A: Only if you use the “Replace from Internal Library” feature. This will replace all product property columns of the project item and re-connect the project item to the library item of your choosing.
