How to Replace Team Members

When someone leaves, use Replace to swap their account for a new teammate—keeping every project role and permission intact while instantly removing the old member’s access.

🧭 Step 1: Navigate to User Management

  1. Open the Main Menu (left sidebar).

  2. Click User Management to see your full list of internal team members and any external contacts.

Internal = people in your organization (designers, procurement agents, etc.)
External = clients, suppliers, or contractors invited to individual projects.

🧭 Step 2: Start the Replace Flow

  1. Locate the departing teammate.

  2. Click the three dots menu on their row and select Replace.

 

🧭 Step 3: Set Up the New Teammate

  • Enter Email – Type the new colleague’s company email.

  • Select Role – Choose the appropriate role (roles managed in Settings → Role Management).

  • Assign Project Access – For each project:

    • Check the box to include the project.

    • Set Edit or View permission (leave unchecked = No Access).

 

🧭 Step 4: Save & Send the Invitation

  1. Click Save.

  2. Fohlio emails the new teammate an invite to create a password and activate their account. They will receive an email like the one below.

At this point the removed user is no longer listed under your internal user list, they cannot access your Fohlio workspace anymore. You will see the invited user in your list under a invitation sent status.

Note: The new team member won't be added to the team until they set up their account, and they will be asked to reset their password the next time they log in.

Important:
When you send an invitation to someone who doesn't have an account yet, an account will be automatically created for them, along with a password. They will not be asked to create a new account.
